59 PM Pacific Bargaining Unit 02 Description Under general supervision in the Department of Medicine, to provide clerical and administrative support, coordination and liaison between the Department of Medicine, Director of Medical Student Clerkship, and the Valley Medical Center House Staff (Interns, Residents and Fellows).

Typical Tasks Coordinates the Department of Medicine Medical Intern Selection process; Mails out application packets; Files and maintains the responses with updated materials; Schedules interviews of applicants with the Department of Medicine and current Interns; Coordinates the compilation of the Intern candidates rank order list and sends it to the National Resident Matching Program; Mails out contracts and information packets; Updates Medical Education program information brochures; Schedules and coordinates arrangements for Basic and Advanced Cardiac Life support training classes for new Medicine Interns and medical staff; Coordinates and sets up the Department of Medicine intern orientation program speakers and schedule; Compiles and types Department of Medicine Intern assignment schedules for the year; Personally conducts the main orientation meeting for new Interns; Assists Residents in preparing applications for state license; Acts as general information and resource person for Department of Medicine Interns and Residents and for clinical department staff and outside agencies regarding the medical education programs; Assists with the annual revision and re-publication of the House Staff Training Manual; Screens, takes messages and relays outside calls to Interns and Residents; Compiles, updates and types a variety of lists, contracts, rosters, schedules and files pertaining to medical graduate students and medical education programs; Prepares time cards and personnel transaction forms for House Staff members; Distributes and correlates survey materials from national organizations relating to the medical education program of the Department of Medicine; Communications with outside House Staff concerning their compliance with medical records standards in completion of delinquent patient chart work; Registers and provides orientation for Interns, Residents and Fellows who are rotating at Valley Medical Center; Keeps Interns and Residents informed of policy changes affecting their schedules, of examination dates, and of other requirements for licensure; Drafts correspondence concerning medical education programs for the Director of the Medical Student Clerkship; Takes and types minutes of the Medical Education Committee meetings for the Department of Medicine; Performs other related duties as required.
Employment Standards Education, training and a period of clerical or secretarial experience in a teaching hospital sufficient to demonstrate possession of the following knowledge, skills and abilities.
Experience Note:
A candidate normally would attain the qualifications listed below through at least two (2) years of progressively responsible clerical or secretarial experience in a teaching hospital, at least six (6) months of which would have been spent working in a Medical Administration office or in a unit providing comparable exposure to the clinical departmental organization of the hospital.
Knowledge of:
The organization and departmental nomenclature of a large teaching hospital; Familiarity with general medical terminology; Standard office practices, procedures, and equipment including word processing systems; Filing and record keeping systems; English grammar, punctuation, spelling and correct diction; The style and formats of business correspondence.
Ability to:
Work independently; Communicate clearly, both orally and in writing; Determine office priorities; Organize a complex body of work efficiently to meet administrative deadlines; Initiate and compose correspondence and memos; Exercise discretion in responding to a variety of inquiries concerning both programmatic and personal information; Interpret and apply policies and procedures; Type at a rate of speed and accuracy sufficient to expedite work that might be subject to deadlines; Take minutes at a rate of speed and accuracy sufficient to record the substance of medical education committee meetings.
